TTM are currently recruiting for a Executive Assistant to work with our Managing Director. This role is based in our Ennis HQ with Hybrid working available.


Responsibilities

You'll be responsible for:

• Provide calendar gatekeeping based on an innate understanding of the key priorities of the MD and support long term business objectives
• Maintain and track MDs deliverables with regard to High 5s and KPIs
• Implement processes to optimise MDs time
• Liaise with other internal/external stakeholders
• Respond rapidly to shifting short term priorities
• Partner closely with Leadership team to manage the rhythm of the business and proactively plan out work stream checkpoints
• Built and maintain a solid overview of all ongoing company objectives and priorities
• Manage complex calendars and scheduling needs
• Manage domestic and international travel
• Comfortably make decisions on behalf of MD, based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time
• Act as a liaison for direct reports to MD
• Organize and attend meetings, manage meeting agendas and take meeting actions
• Provide support with document writing, editing, and readiness of all Board, All-Team and other meeting presentations
• Exercise sound judgment, diplomacy, integrity, confidentiality, and professionalism in communicating information and working with all levels of employees
• Build and maintain high quality business relationships with owners, executives, business partners
• Provide organizational support, including morale events and other tasks/projects
• Manage HQ building requirements with the assistance of the office administrator
• Manage and mentor direct reports

• Must possess the skill, knowledge and ability essential to the successful performance of assigned duties

• Strong project management skills including the ability to effectively manage multiple projects and tasks simultaneously
• Very strong interpersonal skills to communicate effectively among diverse groups of people and the ability to build relationships with stakeholders across the group, including staff, board, committee members and external partners
• Ability to work in a highly competitive environment requires an individual who can work autonomously and under pressure
• Solid computer skills across MS including PPT. Word. Excel and outlook

Essential Experience

• 5 years in a PA role or 3+ years in a senior project manager role
