TTM Healthcare Solutions are proud to partner with a leading teaching hospital in Dublin 4 to hire a Grade V Executive Assistant to the Director of Quality & Patient Safety.
3 month initial contract with strong possibility of extension for the right candidate
35 hour week - Monday-Friday
Pay scales in line with HSE Point of Scale: €25.41 - €30.45 depending on public service experience
Requirements
To be eligible for this role you must have:
• Provide full administrative support to the Director of Quality and Patient Safety across a wide portfolio
• Develop and maintain a comprehensive log and systems for dealing with all correspondence and issues requiring the attention of the Director of Quality and Patient Safety
• Coordinate meetings which will include preparation of relevant documentation, progressing actions with key stakeholders and administration duties as required
• Attend meetings to take and prepare minutes as required
• Be a key contact for the Hospital Management Team and the Hospital Group for data relating to Quality and Patient Safety information for example - Board reports (internal), Quality and Patient Safety Executive Reports (Internal) and Hospital Patient Safety Indicator Reports (external)
• Liaise with other departments in the Hospital and other agencies where applicable. (Ability to deal professionally with people at all levels is essential.)
• Collate and compile reports and performance metrics
• Responsible for overseeing the accurate and timely entry of data to NIMS
• Lead the team of QPS Administrators with the aim of providing an efficient and effective service
• Coordinate the workload of the team, planning, organising and prioritising, ensuring quality is consistent and deadlines are met.

Requirements

- Recent, relevant high level of experience using MS packages (Word, Outlook & Excel essential).
- Good knowledge of best practice in office management and administration in health care setting
- Demonstrated experience preparing reports and/or presentations
- Excellent interpersonal and communication skills
- Strong organisational skills & detail orientated
- Experience managing a team
- Experience in NIMS is desirable but not essential
